Email address
- As the administrator of your centre’s account in the Online Portal you are required to register for an ‘Administrator account’
- Registration will require you to provide the details requested in the TEO Online Portal Registration Form which will include your email address. This email address must be your centre email address and the same one used for your membership of The Exams Office
Password setting
- You will be required to set your own password for your ‘Administrator account’
- Your password must be at least 10 characters long. Remember that UPPERCASE letters are different from lowercase letters (e.g., A is treated as different from a). It must contain at least one character that is not a letter – this can be a digit and/or a special character, such as ! # + ^ @ etc.
To complete your registration and activate your account
- When all required fields have been completed, click Register
- An activation email will be sent to you (check your spam/junk inbox)
For first time use only, use the link in the email to activate your account
What happens next?
- Once registered and your account is activated, you will have full access to the Online Portal
- You will then subsequently login to the portal in the normal way (by saving the portal URL as a favourite/using the Online Portal login button at the top of The Exams Office website)
- As the administrator of your centre’s account, you also have the authority to set up user accounts for other relevant centre staff (invigilators, senior leader/line manager with responsibility for exams, exams assistant etc.) to undertake assessments (see how to set up accounts below)
If you (as the administrator) wish to undertake any assessment, simply select Assessments from the hamburger menu (≡) in the Assessment Portal and select the unit/module/accreditation you wish to complete

Should you experience difficulties in registering, the steps below should be followed:
- Check with your IT department that you are using the most up to date version of your internet browser (Google Chrome, Safari, Firefox, Internet Explorer etc.)
- Ensure that the following email address and URLs are not being blocked by local IT security settings:
- Ask your IT department to ensure that all cookies have been cleared and that you are loading a fresh window to retry and register
- Ask your IT to add the above no-reply email address to your servers safe list. This will ensure emails are not being blocked from coming through.
- Check your junk folder to see if your verification email has been flagged as spam
How to set up and manage user accounts
Invigilator Users
To create a user account to enable an invigilator to access units of the Invigilator Training and Assessment Module and/or the Invigilator Digital Accreditation (IDA):
- In the Invigilator Users screen select +Add a new Invigilator
If on login your account does not default to this screen, select My Invigilators from the hamburger menu (≡) at top left of screen in the Assessment Portal
- Complete the user’s first name, surname and email address – click Add invigilator
Accounts can be created for up to a maximum of 200 invigilators
Note Invigilator Users have restricted access in the portal to the assessments designed for invigilators only
Senior Leadership Team (SLT) Users
To create a user account to enable a senior leader (with responsibility for exams)/your line manager to access the Senior Leader/Line Manager Training and Assessment Module:
- Select My SLT/Line Managers from the hamburger menu
- Select +Add a new SLT
- Complete the user’s first name, surname and email address – click Add SLT/Line Manager
OR (recommended) if this user is likely to require access to other assessments and other resources within the Online Portal
- Create an Exams Officer account for this user as detailed below
Exams Officer Users
To create a user account to enable a new exams officer/exams office staff (other than yourself) to undertake the New Exams Officer Induction and Assessment Module and/or other assessments and have access to other resources within the Online Portal:
- Select Manage Exams Officers from the hamburger menu
- Select +Add a new Exams Officer
- Complete the user’s first name, surname and email address – click Add Officer
Delete inactive users
Where a user leaves your centre or no longer has reason to access the portal, their account should be deleted
- In the relevant Users screen select the user, click on View… Details
- Select Delete User
As the administrator of your centre’s Online Portal account, please advise users of the following:
- When an account has been created (added), the user will automatically be emailed from the system with a verification and password setting message (advise users they may need to check their junk folder to see if the verification email has been flagged as spam)
- Once verified a further email message will confirm successful verification and provide a link to login
- Users can then subsequently login to the portal in the normal way (by saving the portal URL as a favourite/using the Online Portal login button at the top of The Exams Office website)
- Step by step instructions for users on how to complete an assessment and the objectives (the Assessment Guide and Assessment Objectives) are provided on the Assessment Details page within each assessment/accreditation
- Once a user has successfully completed the questions in each assessment section, the assessment can be submitted for certification
- (Invigilator Training and Assessment Module only) At this point users will also be required to confirm the Confidentiality and Security agreement – see the wording they are confirming as shown in the Invigilator confidentiality and security agreement template
When a user has submitted an assessment
- An email alert will be sent to you (the administrator) informing you that a user has submitted an assessment and that you are now able to access the assessment certificate in your account
- In the relevant Users screen select the user, click on View… Details and scroll down to View Certificate
- To print the certificate, select Save as Image and print from the saved image
- To print the assessment section details, select View Assessment Section Details then Save as Image and print from the saved image
- (Invigilators only) Collate the certificates (and assessment section details) for all your invigilators and add the details to your Invigilator Training Record (a template can be found on the Invigilation Support Resources page of this website)
Separate training records may need to be kept depending on the assessment/assessments undertaken by your invigilators
